The fix is not a longer email. It is a checklist with owners, due dates, and a place clients reopen without digging through their inbox.
The finishable onboarding checklist
Use this as a default. Cut what does not apply; do not add vanity steps.
- Kickoff scheduled (date, attendees, agenda link)
- Goals & success metrics written in one shared place
- Brand assets collected (logo, fonts, voice, restricted claims)
- Tool access granted (analytics, ads, CMS, Notion — only what is needed)
- Intake form completed (contacts, billing, decision-makers, constraints)
- Communication norms agreed (Slack vs email, SLAs, escalation)
- First 14-day plan published (milestones, owners, blockers)
- First deliverable date confirmed — and visible to the client
- Recurring cadence booked (weekly status or async portal check-in)
- Offboarding / pause rules noted (so renewals are not improvised later)
Why docs and email checklists stall
- Clients cannot find the “latest” version after day three.
- There is no per-item owner visible to both sides.
- Sensitive assets get mixed into threads that forward too easily.
- Your team updates Notion; the client still lives in the PDF.
Put the checklist in a client onboarding portal
