Kill the Weekly Status Call (Without Going Dark on Clients)
The weekly status call is usually not about decisions. It is a substitute for a productized view of progress. Everyone spends 25 minutes narrating what Notion already knows. Killing the call without fixing visibility feels like neglect. Fix visibility first, then reclaim the calendar.
What the call is actually buying
- Reassurance that work is moving
- A place to ask “where is X?”
- Social proof that the retainer is awake
- Occasionally: a real decision or blocker
Items 1–3 are portal jobs. Item 4 is a meeting. Mixing them is how you get hour-long “quick syncs.”
Replace narrative with a living portal
Publish, per client: active work, blockers owned by them, latest files, and next milestones. Update Notion as you already do. Invite with magic links so checking status is cheaper than booking time.
- Async by default: clients open the portal before they ping
- Decision calls only: agenda required, 20 minutes max
- Written weekly pulse (optional): 5 bullets linking to portal rows — not a slide deck
